1. Who We Are

Kaïser is an AI-powered training materials platform designed for Registered Training Organisations (RTOs) operating under the Australian Skills Quality Authority (ASQA) framework. References to "we", "us", or "our" in this policy refer to the operators of the Kaïser platform.

2. Information We Collect

We collect the following categories of information when you use Kaïser:

Account information: your name and email address, provided via OAuth authentication at sign-up.
RTO configuration data: organisation name, industry sector, learner profile, legislation references, and brand settings you enter in the Settings page.
Content data: unit codes, generated document content, assessment tools, Training and Assessment Strategies (TAS), and any files you upload (e.g. .docx templates, logos).
Usage data: pages visited, features used, generation jobs run, and credit transactions — collected to improve the platform and detect abuse.
Payment data: Stripe handles all payment processing. We store only Stripe customer and subscription identifiers; we never store card numbers or CVV codes.

3. How We Use Your Information

We use your information to:

Provide, operate, and improve the Kaïser platform and its AI generation features.
Process payments and manage your subscription and credit balance.
Send transactional communications (e.g. payment receipts, generation completion notifications).
Ensure compliance with our Terms of Service and Fair Use Policy.
Aggregate anonymised usage statistics to improve generation quality and platform performance.

We do not sell your personal information to third parties. We do not use your RTO content data to train AI models without your explicit consent.

4. Data Storage and Security

Your data is stored on secure cloud infrastructure. We use industry-standard encryption in transit (TLS 1.2+) and at rest. Access to production data is restricted to authorised personnel only. We retain your account data for as long as your account is active. Upon account deletion, we will remove your personal data within 30 days, except where retention is required by law.

5. Third-Party Services

Kaïser integrates with the following third-party services, each governed by their own privacy policies:

Stripe — payment processing (stripe.com/privacy)
Training.gov.au (TGA) — unit of competency data is fetched from the publicly available Australian national register.
AI language model providers — document generation uses large language model APIs. Content sent for generation is subject to the provider's data processing terms. We do not send personally identifiable information to these APIs.

7. Cookies

Kaïser uses a single session cookie to maintain your authenticated state. We do not use advertising or tracking cookies. No third-party analytics cookies are set without your consent.

We may update this Privacy Policy from time to time. We will notify you of material changes via email or an in-app notice. Continued use of the platform after changes constitutes acceptance of the updated policy.
